Project Support Specialist

The Project Support Specialist provides project and program management support for projects within SBD’s Health IT Business Unit, including documentation management, resource management, and administrative process management support to project and organizational leadership. This position supports key project and program management functions by providing process and administrative support including creating and maintaining project-related documentation, assisting with staff on-boarding and off-boarding, and assisting with coordination and scheduling of key organizational and project meetings and events. In addition, this position supports project reporting, internal team communications, time sheet management, and project level expense and financial management activities.
 
Essential Functions and Duties
  • Provide project management support including task management, status reporting, document management, and general project operations support using a variety of productivity tools such as Microsoft Word, Excel, and PowerPoint.
  • Attend project meetings to assist project manager and to contribute to projects activities. Offer comments and suggestions related to the project. Assist with agenda and meeting minute preparation.
  • Provide status and progress reporting support, assisting with the preparation of management reports.
  • Assist with coordination of team activities, functions, and events.
  • Provide communications support by assisting with emails, assisting with preparation of briefing material, and other general team communications.
  • Provide timesheet management support.
  • Provide project financial and expense management support.
  • Coordinate the onboarding and offboarding of all staff on the project.
  • Provide project operations support for internal corporate activities including employee performance management, invoice management, and other internal functions and responsibilities as needed.
 
Required Education and Experience
Associate’s Degree in engineering, finance, accounting, or a related field is required. Bachelor’s Degree is preferred. Previous related business experience desired, but not required. Must have proficient computer skills, particularly Word, Excel, and PowerPoint.
 
Knowledge:
  • Familiarity with project management concepts, including understanding of principles and practices of project operations.
  • Basic understanding of professional services.
  • Strong command of Microsoft products, particularly Excel, Word and PowerPoint.
  • Preparing quality reports and documentation.
  • Basic understanding of concepts of budgeting, forecasting, scheduling, and process management.
 
Skills:
  • Problem solving and decision-making skills.
  • Effective oral and written communication skills.
  • Must possess excellent analytical thinking.
  • Strong Interpersonal skills with the ability to interact with all levels of organization.
  • Good understanding of project management functions.
 
Abilities:
  • High degree of initiative and technical ability for document management, and organizing, presenting information
  • Establishing and maintaining effective working relationships with other project, department, and management staff
  • Ability to communicate with management and other staff with varying degrees of skill levels from a project management and controls perspective.
  • Ability to utilize critical and creative thinking, as well as analyze, problem solve, and recommend solutions.
