Project Coordinator

SBD is seeking a Project Coordinator to join our team at our office in Fairfax, VA. The Project Coordinator provides project and program management support for projects within SBD’s Federal Health Sector; to include providing documentation management, resource management, and administrative process management support to project and organizational leadership.

This position supports key project and program management functions by providing process and administrative support; to include creating and maintaining project-related documentation, assisting with staff onboarding and offboarding, and assisting with coordination and scheduling of key organizational and project meetings and events.

Additionally, this position supports project reporting, internal team communications, timesheet management, and project level expense and financial management activities.
 

Essential Project Related Functions and Duties:
  • Provide project management support including task management, status reporting, document management, and general project operations support using a variety of productivity tools such as Microsoft Word, Excel, and PowerPoint.
  • Attend project meetings to assist project manager and to contribute to projects activities. Offer comments and suggestions related to the project.
  • Assist with agenda and meeting minute preparation.
  • Provide status and progress reporting support, assisting with the preparation of management reports.
  • Assist with coordination of team activities, functions, and events.
  • Provide communications support by assisting with emails, assisting with preparation of briefing material, and other general team communications.
  • Provide timesheet management support.
  • Provide project financial and expense management support.
  • Coordinate the onboarding and offboarding of all staff on the project.
  • Provide project operations support for internal corporate activities including employee performance management, invoice management, and other internal functions and responsibilities as needed.
 

Essential Corporate Related Functions and Duties:
  • Provide Corporate level administrative support for the Fairfax office location; to include:
    • Coordinating with HQ to ensure key card access controls are maintained and managed efficiently and effectively;
    • Fulfilling new hire software/hardware equipment requirements;
    • Office inventory control;
    • Front desk/reception area support;
    • Incoming/outgoing mail distribution.
 

Knowledge:
  • Familiarity with project management concepts, including understanding of principles and practices of project operations;
  • Basic understanding of professional services;
  • Basic understanding of concepts of budgeting, forecasting, scheduling, and process management;
  • An understanding of project management functions;
  • Must have a high degree of initiative and technical ability for document management, organizing, and presenting information.

Abilities:
  • Must be proficient in Microsoft Office 365 with a concentration in Excel, Word, and PowerPoint;
  • Must have effective oral and written communication skills;
  • Must possess excellent analytical thinking;
  • Must have strong interpersonal skills with the ability to interact with all levels of the organization;
  • Establishing and maintaining effective working relationships with other project, department, and management staff;
  • Ability to communicate with management and other staff with varying degrees of skill levels from a project management and controls perspective;
  • Ability to utilize critical and creative thinking, as well as analyze, problem solve, and recommend solutions;
  • This individual must demonstrate a customer service attitude, a strong commitment to operational excellence and be able to display behaviors and a commitment to the organization’s core values;

Desired Education and Experience:
  • Bachelor’s Degree is preferred.
  • Previous related business experience desired, but not required.
